Microsoft 365 Licencing
Reducing Microsoft Licensing Costs for Cahill Design Consultants
Introduction
Having previously purchased Microsoft 365 licences directly at standard retail pricing, Cahill Design Consultants sought a more cost-effective and flexible licensing solution. While their existing licensing arrangement provided access to the tools they needed, it offered limited support and little opportunity for ongoing optimisation.
By transitioning their Microsoft 365 licensing under our managed billing model, Cahill Design Consultants were able to immediately reduce licensing costs while gaining access to enhanced support services, improved visibility over their subscriptions, and ongoing guidance to ensure their licensing remained aligned with business needs.
Challenges
Cahill Design Consultants required a combination of Microsoft 365 Business Standard, Power BI Pro, and Microsoft Copilot licences to support day-to-day collaboration, reporting, and productivity across the organisation.
However, purchasing licences directly through standard retail channels meant they were paying full retail rates without the benefit of tailored licensing support or proactive management. As their software requirements evolved, there was limited flexibility to review licence usage, optimise spend, or ensure the organisation maintained the most appropriate licensing mix.
The business needed a licensing partner that could provide both competitive pricing and expert guidance, while maintaining access to the same Microsoft products and services they already relied upon.
Our Solution
As Cahill Design Consultants’ new Microsoft licensing partner, we migrated their licences under our managed billing model, delivered through OpenText.
This transition enabled immediate savings across their Microsoft licensing estate while ensuring continuity of service and access to the same trusted Microsoft technologies. Cahill Design Consultants retained their Microsoft 365 Business Standard, Power BI Pro, and Microsoft Copilot licences, but at a reduced monthly cost and with greater commercial flexibility.
Beyond cost savings, the new licensing arrangement introduced additional value through access to Microsoft Premier Support and ongoing licence optimisation services. Rather than simply supplying licences, we worked alongside the business to review their licensing requirements and ensure subscriptions remained appropriately aligned with operational needs and future growth.
This proactive licensing management approach provided greater transparency over licensing consumption and helped prevent unnecessary overspend or underutilisation.
Results
The migration delivered immediate financial benefits alongside a more strategic approach to Microsoft licensing management.
By moving away from standard retail licensing and adopting our managed billing solution, Cahill Design Consultants achieved reduced monthly licensing costs while maintaining access to the same Microsoft products and capabilities.
The business also benefited from enhanced support, clearer visibility of licence usage, and an experienced technology partner to manage and optimise their evolving Microsoft 365 environment. The result was lower spend, improved transparency, and a scalable licensing solution designed to support future growth.
