Innovate Foods is a large-scale provider of school meals, preparing fresh and nutritious food for children across England every day. Focused on promoting healthy eating and encouraging pupils to explore new cuisines and flavours, the organisation delivers meal services at scale while maintaining high standards of quality and nutritional value.
As the business continued to grow, so too did the volume and complexity of operational and financial data generated across schools and regions. To support more informed decision-making and improve visibility into performance, Innovate Foods required a more advanced and scalable reporting solution.
Challenges
Innovate Foods approached Dolphin IT Solutions seeking a Business Intelligence solution that would provide clearer and more effective reporting on sales and financial performance.
Historically, the organisation had relied heavily on Microsoft Excel for financial reporting and data analysis. While this approach had served the business during earlier stages of growth, expanding operations and increasing reporting requirements made spreadsheet-based reporting increasingly difficult to manage.
Large datasets, multiple workbooks, and manual analysis processes limited visibility and made it harder to produce consistent reports across the organisation. Decision-makers required quicker access to performance data and a more interactive way to analyse information without losing the familiarity and flexibility of their existing Excel-based processes.
Recognising Power BI’s strong integration with Excel, Dolphin IT Solutions proposed a modern Business Intelligence platform that would leverage Innovate Foods’ existing spreadsheets while transforming reporting into a more dynamic and scalable experience.
Our Solution
Dolphin IT Solutions designed and developed a suite of four bespoke Power BI dashboards built directly from Innovate Foods’ existing sales and financial Excel workbooks.
Rather than requiring a complete redesign of the organisation’s data collection processes, the solution utilised Power BI’s Excel integration capabilities to build modern reporting dashboards around the information already being captured by the business.
This approach allowed Innovate Foods to retain the familiarity of its existing Excel data sources while gaining the advantages of interactive Business Intelligence reporting.
The raw spreadsheet data was transformed into a visually engaging reporting environment featuring charts, graphs, and trend analysis designed to make performance information easier to understand and act upon.
When users opened the Power BI reports, they were presented with a high-level overview dashboard summarising performance across all schools. From this central view, built-in filters and drill-down functionality allowed users to explore the data from multiple perspectives and uncover more detailed insight.
Reporting could be analysed by:
- Individual school performance
- Groups of schools
- Regional or operational areas
- Area manager portfolios
- Financial and sales performance trends over time
This flexible reporting structure provided users with significantly greater visibility into business performance while eliminating many of the limitations associated with static spreadsheet reporting.

In addition to delivering interactive dashboards, Innovate Foods required a reporting solution that could be easily maintained, updated, and branded as business requirements evolved.
To support this, Dolphin IT Solutions developed the Power BI reports with long-term usability and flexibility in mind.
Comprehensive documentation was provided outlining how the reports were constructed, alongside guidance for modifying and reconfiguring key report components. This enabled Innovate Foods to make future branding adjustments, update report structures, and maintain ownership over their reporting platform without relying solely on external development support.
By combining technical delivery with knowledge transfer, the solution ensured the reporting environment remained sustainable and adaptable beyond the initial project.
Results
The completed Business Intelligence solution enabled Innovate Foods to transition from traditional spreadsheet reporting to a modern Power BI reporting platform in a matter of weeks.
