Introduction
Vuealta is an international consultancy specialising in tailored advisory, implementation, and ongoing support services for Anaplan, a leading enterprise planning platform. As a trusted advisor in business transformation and planning strategy, Vuealta helps global organisations adopt more collaborative and connected approaches to planning by bringing together people, data, and processes to support faster and more informed decision-making.
Operating across multiple international locations, Vuealta required a modern digital workplace that would better connect employees, improve collaboration, and provide easier access to business information and resources across the organisation.
Challenges
Vuealta already utilised Microsoft 365 applications such as Outlook, Word, and Excel, while Dropbox was used separately for file storage and sharing throughout the business.
Although these tools supported day-to-day operations, they operated independently and lacked the unified experience needed to create a truly connected workplace. Employees often relied on multiple platforms to access documents, communicate, and collaborate, which created inefficiencies and fragmented information management.
Vuealta required a centralised intranet platform that could bring these capabilities together under one secure and integrated environment.
The organisation’s requirements included:

- Alongside usability and collaboration, security and compliance were also key considerations, particularly around document permissions and GDPR requirements.
Our Solution
Following detailed consultation and discovery sessions, Dolphin IT Solutions proposed a modern SharePoint intranet solution built within Microsoft 365.
SharePoint was selected because of its ability to deliver highly customisable intranet experiences while providing powerful document management, collaboration, and workflow capabilities within a familiar Microsoft ecosystem.
Using SharePoint Modern Sites as the foundation, Dolphin IT Solutions designed and developed a bespoke intranet tailored specifically to Vuealta’s operational requirements and global workforce.
To deliver a more personalised user experience, the intranet landing page was customised using HTML and JavaScript enhancements applied to the modern SharePoint framework. This created a visually engaging and branded environment aligned with Vuealta’s identity while maintaining the flexibility and scalability of Microsoft 365.
The result was a modern digital workplace that unified communication, document management, and business resources within a single platform.
Document Management and Knowledge Sharing
A major objective of the project was to improve document management across the organisation.
Dolphin IT Solutions introduced a standardised document storage structure designed to provide consistency across departments and international teams. This helped reduce duplication, improve organisation, and establish clearer governance over company information.
Security and GDPR requirements were considered throughout the design and implementation process to ensure the solution aligned with internal policies and regulatory obligations.
To further improve usability and productivity, custom metadata structures were created for document classification and tagging.
This allowed users to search, filter, and organise files far more effectively than traditional folder-based storage systems. Combined with SharePoint’s advanced search and indexing capabilities, employees could quickly locate relevant documents, case studies, and internal expertise across the organisation.
As a result, Vuealta staff gained faster access to business knowledge and improved opportunities for collaboration between consultants and offices worldwide.
Microsoft 365 Delve and Intelligent User Profiles
To strengthen internal connectivity and knowledge discovery, Dolphin IT Solutions incorporated Microsoft 365 Delve into the intranet experience.
Delve uses Microsoft 365 intelligence capabilities to build evolving user profiles based on workplace activity and collaboration patterns.
Within Vuealta’s environment, employee profiles were automatically generated and enriched over time, helping staff better understand colleague expertise, project involvement, and commonly used resources.
These profiles were linked with frequently accessed documents and content, helping users surface relevant information more quickly and encouraging knowledge sharing throughout the business.
This created a more connected and collaborative workplace environment while reducing the time spent searching for expertise and resources.
Security and Global Access Management
As a global organisation, Vuealta required secure and controlled access to company information while ensuring teams across different regions could collaborate effectively.
To support this, Dolphin IT Solutions implemented a structured permissions model using Microsoft 365 and SharePoint security groups.
This enabled the creation of:
- Secure role-based access areas
- Department and project-specific workspaces
- Public and restricted content zones
- Controlled document sharing and collaboration
By aligning permissions with organisational roles and business requirements, the platform ensured staff could securely access the resources they needed while protecting sensitive company information.
Microsoft 365 Licensing and User Enablement
During the project, Dolphin IT Solutions also conducted an assessment of Vuealta’s Microsoft 365 licensing arrangements.
Although the business already utilised selected Microsoft 365 services, licensing limitations restricted collaboration and prevented users from fully benefiting from the Microsoft ecosystem.
As a Microsoft 365 partner, Dolphin IT Solutions supplied and implemented full Microsoft 365 licensing across the organisation.
This allowed every employee to fully edit, collaborate on, and manage documents within the Microsoft 365 environment while improving consistency and ensuring greater value from the company’s subscription investment.
To support governance and organisational policies, each Microsoft 365 account was configured with appropriate permissions governing:
- Document viewing rights
- Editing permissions
- Internal and external sharing controls
- Access management aligned with business policy
This ensured the platform delivered both flexibility and security at scale.
Results
The completed SharePoint intranet transformed Vuealta’s digital workplace by bringing together collaboration, communication, and document management within a single Microsoft 365 platform.
By replacing disconnected tools with a centralised and secure intranet, Vuealta gained improved information management, stronger internal communication, and easier access to business knowledge across global teams.
The introduction of structured document governance, intelligent search capabilities, Microsoft Delve integration, and role-based security provided employees with a more connected and productive working environment.
